We apply purpose-specific retention periods rather than one retention period to all data. In particular:

• Temporary AI/import artefacts (such as extracted working text, extraction stages and review artefacts) are scheduled for deletion eligibility 30 days after a successful import, unless a legal or programme hold applies.
• An uploaded approved application may be retained as a Project document when it is needed as project, contractual, reporting or audit evidence. It is reviewed after the project end rather than automatically deleted with temporary AI artefacts.
• Canonical Project data is retained while the project-management purpose remains active. At project closure/end, the project owner must review any programme, grant-agreement, contractual or legal retention requirement before deletion is permitted.
• Where a specific law, grant agreement, audit requirement, dispute or legal claim requires longer retention, that requirement takes precedence for the affected records only.

Retention review dates are not automatic deletion dates for project evidence. ProjectAdvisoryAI uses legal/programme holds to prevent deletion where an applicable obligation remains. Upon account deletion, personal data is removed within 30 days except where continued retention is legally required. Anonymized, aggregated data may be retained for analytics where it no longer identifies an individual.
